A focal point in (say) the Programme directorate opens the admin console, clicks + New Planner, and instantly gets a private workspace — a unique URL slug is auto-generated the moment the planner is saved. At this stage nothing is public.
The team adds sessions (day-by-day agenda), attaches speakers with bios and photos, pins the venue on a map, uploads partner logos by tier (platinum / gold / silver / …) and drops in background documents and gallery photos. Every change is saved in real-time.
Comms receive a preview link (the planner is still in Draft). They refine the headline, tighten the description, swap the cover image for a branded one, and make sure tone matches AUDA‑NEPAD's voice. They can comment, revert, or approve in-line.
A single Publish action instantly generates six public surfaces: a shareable public URL, a mobile PWA deep-link, an iCal feed, a JSON API endpoint, a ready-to-print QR code, and social meta-tags for LinkedIn/Twitter/WhatsApp previews. Nothing else to configure.
Comms copy the short URL into newsletters, press releases, ambassadors' briefings, WhatsApp cascades, and social posts. The QR code goes to signage and invitation cards. Partners embed the public calendar via iCal or pull the JSON feed into their own websites.
Attendees tap the link on their phone and land in the PWA — they see the agenda, star sessions, get venue directions, read speaker bios, download documents, and receive live announcements. Journalists use the public web page. Everything they see is the same data the department entered in step 02.
